Automated Workflows with Custom Activities

Activity templates are pre-filled templates with titles, messages, categories, and deadlines that can be assigned to clients. There are two primary tools for advisors to scale and automate their outreach efforts by creating custom activity templates that auto-assign to:

  1. All new clients when signing up for your Savology account.
  2. Clients who meet the specific criteria of a filtered list (AKA Audience)

How to create auto-assigned activities for all new users

Step 1: Create a new Activity Template: Navigate to Reporting > Activity Templates and select the Create new template button.

Step 2: Add the Activity Template details: On the Add Activity Template modal that appears, enter the details for the new activity template. These include the Template Name, Activity Title, Category, Deadline, & Description.

Step 3 [IMPORTANT]: Select auto-create for all new users: make sure the Auto create for all new users box is checked so the activity template is auto-created and auto-assigned to all new users who sign up. 

What happens next...

Now that you've created your auto-assigned custom activity, when anyone new signs up, the activity template is auto-generated, added to their account and dashboard, and an email notification is sent that a new activity has been created.

Doing so will only impact new users going forward and will not affect any current users who are already part of your account at the time the custom activity is created.


How to create auto-assigned activities for Audiences

Step 1: Create a new Audience: With Audiences, you can build filtered lists of clients using different criteria such as financial data, demographics, and account activity. To auto-assign a custom activity to specific clients, you must first build an audience.

  • In your admin account, go to Reporting and select the + Add filter button located below the search bar.
  • Add and apply a filter (or filters) using the financial or profile details of your choice. Once you’ve created the filtered list, save the list as an audience by clicking on the save icon and entering a name for the new audience.

Step 2: Create a new Activity Template: Navigate to Reporting > Activity Templates and select the Create new template button.

Step 2: Add the Activity Template details:

  • On the Add Activity Template modal that appears, enter the details for the new activity template. These include the Template Name, Activity Title, Category, Deadline, & Description.
  • When finished adding the activity template details, select Create.

Step 3: Assign the Default Activity to the Audience

  • Go to Reporting > User Audiences , locate the audience you created, and click on the Show More accordion to see the filters and actions for the audience.
  • Under Actions, select Assign default activity and select the Activity Template (or multiple templates) you created from the drop-down menu. When finished, select Save

Step 4 [OPTIONAL]: Assign the Activity template to Current Audience Members

Now that default activity templates have been added to the audience, all users who meet the audience filters going forward will automatically receive the activity. However, this won't impact users who are currently part of the audience.

You can optionally assign the default activity template(s) to all of the users currently in the audience by selecting the audience’s three-dot menu and clicking Sync activity templates.

Important Note: Timing of auto-assigned activities to audiences 

Unlike bulk custom activities, activity templates assigned to an audience are NOT auto-created and assigned immediately. These activities are updated automatically on a weekly basis and auto-assigned to any clients who newly met the audience filters in the last 7 days. However, you can manually run an update at any time to auto-create the activity for any new users in the audience by selecting the audience’s three-dot menu and clicking Sync activity templates.

What happens next...

No, default activity templates assigned to an audience are only auto-created for users who meet the audience criteria going forward and are not auto-created for users who are already part of the audience when created. However, you can manually assign the activity template(s) to all of the existing users in the audience by clicking on the audience's three-dot menu and selecting Sync activity templates.

Do users who join an audience in the future receive the auto-assigned activity immediately?
